Happenings Purpose
The purpose of a newsletter is an opportunity for the ASWi team to provide you and the rest of our clients with information on all the new ASWi and Acumatica related things (or “happenings”) that you may not otherwise be aware of.

Volunteer Recognition Day

Volunteer Recognition Day is the annual celebration of those who selflessly benefit the lives of others. By providing a helping hand to those in need, humans and animals alike, we are all naturally working towards making the world a better place. As you go about your day today, please honor and thank those who go to the extra mile.

Acumatica User Group | Houston – May 16, 2024
South Texas User Group
The next South Texas User Group meeting will be held in Houston on May 16th from 2:00 pm to 4:30 pm. This will be followed by a Networking Mixer from 4:30 pm to 6:00 pm. The user group leaders are still confirming the location and the agenda.

Acumatica 2024 R1 | Release News
Acumatica release Acumatica Cloud ERP 2024 R1, the first of their semi-annual product updates, on March 20th.

Acumatica Construction Edition | HCSS Integration
Many Acumatica Construction Edition subscribers integrate with HCSS HeavyJob. When using HeavyBid, they are simply using an export from HCSS and import scenario/workflow in Acumatica to bring over the bid details.
There are a few components in HCSS as it relates to accounting integrations. While Acumatica may not be on the HCSS Website (the page hasn’t been regularly updated), we are included within their software.
Data Integration Studio deals with master file information. This enables the HeavyJob users to enter information that has an associated data point in Acumatica. HCSS has included Acumatica in their dropdown selection for clients, and this sends employees, equipment, cost, and jobs from Acumatica to HCSS.
TrueUp compares HeavyJob and accounting to determine what may be needed to updated between the two systems from a detail level. We do not believe that HCSS has created a “trueup” process yet for Acumatica.
The current method to get usage is manual export/import. Some clients have worked with their partner/HCSS on an API integration. Regarding a workflow, here is how some existing HCSS/Acumatica clients do things:
• Use an Acumatica Import Scenario to bring in employee time cards from HeavyJob (export to CSV from HCSS)
HCSS has two exports, one for payroll and one for equipment time. I believe it’s called ‘Export to Payroll’ in HeavyJob.
• Export of equipment usage from HCSS, imported into an Acumatica Payables Invoice (using inventory ID so a unit cost pulls through)
• HCSS used for field hours and budget to actual in labor hours and material
• HCSS material receipt import to Acumatica PO
• Inventory adjustment as received materials per HCSS production budget
The HCSS Integration within HeavyJob does not require customization, just implementation/services time, as the DIS creates an export file that can be imported into Acumatica. There would be import scenarios created in Acumatica for the information flow.
To recap: you may have HCSS HeavyBid, HeavyJob, and Dispatcher. When a project is awarded, you can manually move the estimate from HCSS HeavyBid to Acumatica Project (using import scenario). Acumatica Jobs are sent to HCSS HeavyJob via the HCSS DIS (Data Interchange Studio). You can also send HCSS
HeavyJob Time Entries into Acumatica time activities (import or upload).

Sales 101 | Combatting Negativity

I wanted to share with you all is a way to combat the recurring negativity that silently creeps into our heads every so often. You know how it is: You’ll be minding your own business and then suddenly you’ll hear things like:
These leads suck…
I can’t make any real money here…
I can’t believe they are making me show up to the office!
By the way, the examples above are just some random negativity about work. There’s a ton more around you in regards to relationship(s), your health or body image, your stage in life, etc.
A saying I recently heard and loved was this:
“Learn to talk to yourself, rather than listen to yourself.”
What this means is that, rather than let that random, negative self-talk just pour into you, you should instead talk back to yourself in advance and feed the positive self-talk you need to succeed. This might include:
“Everyone has these leads, and I’ve written business from them. I just need to put in a little more effort, and when I do, I’ll find buyers—just like everyone else is!”
“I can make just as much money as I set my mind to.”
“Going into the office has tons of benefits, including feeding off the energy of other reps, having constant access to my manager, etc.”
Bottom line: Don’t wait for your head to feed you with negativity and sit by passively and listen to it. Be proactive and learn to talk to yourself first—and give yourself the peptalk you need to succeed!
